The Supply Chain Officer at Nyandarua National Polytechnic plays a vital role in ensuring that the institution has all the necessary materials and services to function effectively. A primary responsibility of this role is procurement planning and execution. The Supply Chain Officer works closely with academic departments to understand their specific requirements for technical workshops, such as tools, machinery, and raw materials. By developing a comprehensive annual procurement plan, the officer ensures that all purchases are made in a timely manner and comply with the Public Procurement and Asset Disposal Act. This systematic approach helps the polytechnic achieve value for money while maintaining high standards of quality.

Supplier management is another essential function of the Supply Chain Officer. This involves identifying reliable vendors, managing the tendering process, and evaluating supplier performance. By building strong relationships with reputable suppliers, the officer ensures a steady flow of essential goods and services. They are also responsible for negotiating contracts and ensuring that all parties adhere to the agreed-upon terms, which protects the institution from financial and operational risks.

Inventory and stores management also fall under the mandate of the Supply Chain Officer. Once goods are received, they must be inspected, recorded, and stored securely. The officer oversees the distribution of these items to the relevant departments, ensuring that stock levels are monitored and replenished before they run out. Efficient inventory management prevents wastage and ensures that students and staff always have access to the resources they need for practical training.

Finally, the Supply Chain Officer is responsible for asset disposal and compliance reporting. As equipment becomes obsolete or reaches the end of its useful life, the officer manages the disposal process in a transparent and ethical manner. They also maintain detailed records of all procurement activities and prepare regular reports for management and regulatory bodies.
